As Collections System Coordinator, you’ll be integral in supporting the collections management system which is essential in tracking and managing the holdings of the Royal Collection. You’ll assist in maintaining, training, documenting and troubleshooting the system, contributing directly to the preservation and accessibility of this remarkable collection.
You will be part of a team that cares for one of the most significant art collections in the world. Your work will directly contribute to the accessibility, preservation, and presentation of this invaluable heritage by supporting a new collections management system to enhance how this remarkable collection is managed and shared with the world.
Key Responsibilities:
• You’ll manage user accounts as well as provide first-line support to users, logging and resolving issues efficiently.
• You’ll develop and deliver training for new and existing users, maintaining clear and comprehensive user documentation to ensure best practices are followed.
• You’ll work alongside the Collections System Manager to perform regular testing of system releases, ensuring smooth functionality, and tracking technical issues through external providers.
• You’ll track and contribute to the ongoing data cleaning program to standardise and maintain accurate data and records.
• You’ll review and test new functionality and features of the system, helping to roll out enhancements and optimisations for users.
• You’ll work closely with teams across the organisation, from curatorial to conservation to ensure that collections data is managed and accessible to support various departments.
• You’ll maintain and develop the system’s reporting tools and templates. |

Required Skills / Qualifications |
|
• You’ll have strong experience in using or maintaining a collections management system, or similar database in a museum or similar environment.
• With strong understanding of system support, report writing, and problem-solving in relation to large datasets, you’ll have a keen eye for detail and strong organisational skills.
• With a proactive, self-motivated approach to resolving issues and continuously improving system processes, you’ll have the ability to work independently on repetitive tasks while maintaining accuracy and focus.
• You’ll be an excellent communicator, able to collaborate across departments and external partners with confidence.
• Experience with using tracking software and an interest in art collections or museums would be desirable, however not essential. |
