Job Description |
|
The Rural Life Living Museum is a small independent Museum, set in a 15 acre open air site with 4 full time staff and around 100 volunteers.
The Museum Operations Manager is responsible for the day-to-day operation of the Museum and its associated activities, in line with the agreed public programme. The Operations manager will ensure that all areas of the museum are ready to receive visitors and that the visitor facilities are kept clean and re-stocked as appropriate. The Operations Manager works in close collaboration with the Collections Manager and Head of Learning and Discovery to deliver the public programme, leading on all special events and site hire activities.
In addition to paid staff, the museum relies on a large group of volunteers who assist in the maintenance and operation of the museum. All activities taking place on the Museum site are overseen by the Operations Manager to ensure smooth and timely delivery of the public programme and associated activities, alongside booked learning sessions, collections and maintenance activity throughout the year.
Main Duties and Accountabilities
Income Generation.
Group Visits.
• Working closely with colleagues, create, promote and deliver group visits packages for groups of 10 or more visitors.
• Lead the front of house staff to answer group enquiries, converting enquiries to bookings, and taking payment, ensuring that dates and resources are available as appropriate.
• Oversee the delivery of each group visit ensuring high quality visitor experience from start to finish.
Private Hire.
• Working closely with colleagues, create, promote and deliver private hire events within the Museum site and buildings.
• Ensure that private hires are planned and delivered with minimal impact on the public programme and visitor experience.
• Receive enquiries for private hires, meet with potential clients to understand their needs and ensure that the event requirements can be met within our resource availability.
• Work with the client, contractors, caterers etc. to plan and deliver each event, ensure each event is well planned and executed and delivers a high level of customer satisfaction.
Retail.
• Work with front of house staff and colleagues to curate, buy and deliver a unique museum shop retail experience, within agreed budgetary limits.
• Support, encourage and train front of house staff to drive shop sales and achieve targets.
• Maintain an ongoing and accurate stock file, using front of house staff to conduct stock checks and enter new stock onto the stock file.
• Track retail sales progress against agreed targets and report to the Director as required.
Visitor Services.
• Ticketing (Digitickets training will be provided).
• In collaboration with the Museum Director, ensure that the ticketing system is setup appropriately and that tickets are available online and, in the shop, as required by the public programme.
• Report on footfall and ticketing demographics to the Director as required.
• Working with front of house staff, respond to email and telephone enquiries ensuring a swift turnaround on visitor / ticketing / group enquiries.
• Working with the Marketing and Communications Manager, ensure that visitor information on our website, google business page and ticketing system is correct and up to date.
Visitor Welcome and Wayfinding.
• Be fully up to date with all daily plans, ensuring that front of house staff are briefed daily at the start of their shift and kept up to date during the working day.
• Ensure that all visitors are welcomed when they come into reception, that front of house staff explain the ticketing options properly, and that every visitor is asked for gift aid.
• Ensure that every visitor is given appropriate wayfinding and information on activities for that day, including, maps, trails and activity books, being able to answer enquiries about activities for future visits.
• Ensure that every visitor has an excellent day out with us.
Front of house staff.
• Recruit train and manage front of house staff as required to meet the daily operational needs of the Museum, within budget.
• Ensure that front of house staff always have additional tasks to do during quieter times, receiving admin tasks from colleagues as well as yourself.
Cleaning (Facilities).
• Manage the cleaning and equipment ordering in collaboration with the cleaner, ensuring that toilet facilities are always clean and well stocked.
• Work with the Collections Manager to manage the cleaner to undertake other regular tasks in buildings around the site, prioritising floors and touch points.
Café liaison.
• Act as primary liaison with our café partner, ensuring they have good knowledge of the daily plan, public programme, footfall and pre-booked event tickets.
• Work with our café partner to ensure that the café is clean and well presented at all times and that visitors have a positive café experience.
• Work alongside our café partner as our approved caterer to plan and deliver private hires, group visits and additional catering secondary spend opportunities.
Public Programme
• Daily opening.
• Working closely with colleagues, ensure that the Museum site is ready to open each operating day, that planned activities are setup, and volunteers have been assigned tasks.
Special Events.
• Take the lead role in the planning, resourcing, setup, delivery and clear down for our special events.
• Liaise with external event organisers and collaborate on event layout, content, activity and scheduling.
• Liaise with exhibitors, ensuring their enquiries are answered, collating entry forms and ensuring each exhibitor receives joining information in good time before the event.
• Manage and schedule volunteers to ensure smooth setup and takedown for each event.
• Work with colleagues to layout event content, using the museum site to best advantage, and ensuring a good visitor flow around the site.
• Manage budgets for special events as agreed and allocated.
• Book additional facilities, content and equipment for events, negotiating hire contracts as required.
• Ensure that front of house staff and systems are prepared for higher-than-normal visitor flow on event days.
• Be the stage manager for each special event, working with colleagues and volunteers to deliver an outstanding day out for visitors and exhibitors alike.
Volunteer activities.
• In close collaboration with the Collections Manager, Head of Learning and Discovery and the Museum Director, keep up to date with volunteer activities taking place across the site.
• Ensure that planned volunteer activities fit with the public programme.
• Ensure that volunteer activities are carried out safely, and that work areas for maintenance projects are clearly signed and barriered off.
• Work with the team to manage and motivate the volunteer team, engaging them in the delivery of the Museum’s objectives and public programme.
• With the Collections Manager and Head of Learning and Discovery, encourage volunteer engagement with visitors, drawing out their passion for the Museum and its collections.
• With the Museum Director, liaise as necessary with the Old Kiln Light Railway.
Health and Safety (Training will be provided).
• Working alongside the Museum Director, lead the positive implementation of best practice in health and safety across the Museum site. For all staff, volunteers, visitors and contractors.
• Review, improve and write as appropriate risk assessments for Museum site, events and activities.
• Work with colleagues to ensure risk assessments and method statements are in place as necessary within their own areas.
• Work with competent volunteers to ensure that workshop spaces, tools and equipment are regularly inspected, safe and fit for purpose.
• Ensure that the Museum site, buildings and exhibitions are safe for visitors to access, taking action to mitigate immediate risk or danger and working with colleagues to make improvements and / or put controls in place for longer term solutions.
• Ensure that the fire alarm system is regularly tested and the tests recorded. Conduct planned fire drills each year.
• Ensure that the firefighting equipment is regularly inspected, tested and renewed as necessary and keep a record.
• Ensure that all staff and volunteers are aware of the actions required in the case of a fire, conduct regular training and update sessions.
• Ensure that keys, and access to non-visitor areas is carefully controlled.
• Ensure that first aid equipment is kept replenished and that the accident book is kept up to date and safely stored. |

Required Skills / Qualifications |
|
• Experience working in museums and or other visitor attractions would be advantageous.
• Experience creating and organising and running public events an advantage.
• Experience and ability working in a fast paced, sometimes high pressure environment.
• Ability to communicate efficiently and clearly in both written and verbal forms.
• A good eye for detail and desire for continual improvement.
• Flexibility around working hours. (We often work shorter hours in the winter and longer in spring and summer.)
The right candidate will enjoy a challenge, thrive within a small team and be happy working outdoors as we are an open air museum. Being highly organised and efficient with personal time management is a must, however, the ability to respond to the unexpected, calmly, safely and always with positive visitor experience in mind. |
